If a team member no longer needs access to Workyard, you can deactivate their profile. This stops them from logging time or accessing the app, while keeping all past data intact for reporting, billing, or payroll purposes.
Can I Delete a User?
No — Workyard does not allow deleting users.
This is by design to ensure you retain complete records for compliance, audits, job costing, and payroll history. All time card and project data will still be available even after a user is deactivated.
What Happens When a User Is Deactivated?
They can’t log in or clock in/out
Their time card and job history remains available
You will no longer be billed for them after deactivation
You can reactivate them at any time
How to Deactivate a User (Web/Desktop)
Go to the Team Members tab on the left-hand menu
Click the name of the user you want to deactivate
Select the red Deactivate button near the top right
Confirm when prompted
How to Deactivate a User (Mobile App)
Open the Workyard app
Tap the Profile Icon in the upper left corner
Tap Manage team under the Team section
Select the user you want to deactivate
Tap the red Deactivate button and confirm
Note: Only Admins can deactivate users from mobile.
How to Reactivate a User
Web/Desktop:
In the Team Members tab, change the filter to filter by Deactivated users (top-left)
Click the deactivated team member’s name
Click Activate
Mobile App:
Tap Profile icon > Team Members
Filter by Deactivated
Tap the user’s name
Tap Reactivate (upper right)
