Setting Up Kiosks in Workyard (New Flow)

The kiosk setup process has been simplified! You can now connect a Time Clock Rule Group directly to a kiosk device so it automatically inherits your team’s clock-in and time tracking rules.

Before You Start

Make sure:

  • The iPad is running iOS 17.5 or later.

  • Kiosk mode is enabled in the Workyard app.

  • You’re logged in with an admin or manager account that can create kiosks.

Web Application Path:
Go to Settings → Company → Kiosk → Setting up Kiosks to view or manage kiosk setup options and PINs.


Step 1: Download & Log In to the Workyard App (on iPad)

  1. On your iPad, download the Workyard app from the App Store.

  2. Log in to your Workyard account.

  3. From the Clock page, tap Kiosk mode in the top-right corner to begin setup.


Step 2: Enter Your PIN to Start Setup (on iPad)

  1. Enter your PIN to launch kiosk setup mode.

  2. Provide:

    • A kiosk name

    • Location

    • Language preferences

Tip: Your setup PIN can be found anytime in the Web Application under
Settings → Company → Kiosk → Setting up Kiosks → Enter your PIN to start setup


Step 3: Connect a Time Clock Rule Group (on Web Application)

Each kiosk can be assigned a Time Clock Rule Group, which defines how your team clocks in and out and how project time is tracked.

You can manage and assign rule groups in the Workyard Web Application under:

  • Settings → Company → Kiosk → Setting up Kiosks → Time Clock Rules.

A rule group determines:

  • How workers clock in and out

  • How project time and cost codes are assigned

This gives you flexibility to apply different time-tracking rules for different job sites or devices.

Click Set Up Time Clock Rules to select or manage the correct rule group for each kiosk.


Step 4: Share PINs with Your Team (on Web Application)

Once setup is complete:

  • Go to Settings → Company → Kiosk → Setting up Kiosks → Share PINs.

  • Share the auto-generated PINs with your team members.

  • Workers can now clock in and out directly from the iPad kiosk.

Tip: Sharing from the web ensures PINs stay secure and can be managed centrally by admins.


You’re All Set!

Your kiosk is now ready for use. Team members can clock in based on the rules you’ve assigned, ensuring consistent and accurate time tracking across all job sites.


Frequently Asked Questions (FAQ)

What are the system requirements for Workyard Kiosk?

Workyard Kiosk is supported only on iPad devices running iPadOS 17.5 or higher.
This feature is available on Workyard Pro and Enterprise plans.

Note: Kiosk mode is not supported on Android tablets, phones, or desktop browsers.

What rules are not applicable with kiosk time tracking?

The following geofence-based automations are not active when using Kiosk mode:

  • Automatically clock in on geofence entry

  • Restrict clock-in within a geofence

  • Trim clock-out time to last geofence exit

These rules apply only to individual mobile tracking and not shared kiosk devices..

How do I exit Kiosk mode?

To exit Kiosk mode:

  1. Tap Exit Kiosk on the PIN authentication screen.

  2. Enter the PIN of the user who started the kiosk (admin or manager).

A valid PIN is required to stop the kiosk, preventing unauthorized access to admin or manager data.

Keep it secure: Do not share your admin or manager kiosk PIN with team members. It should remain confidential to maintain data privacy and control.
