This Smart Forms feature allows you to automatically capture location and/or timestamp data as part of your form submissions - for any question type, including photo uploads.
This helps your team validate when and where work was completed, providing accurate evidence directly within your form responses.
What You Can Do With This Feature
Add location and/or timestamp capture to any question in a Smart Form
Ensure your team’s responses include essential context (e.g., jobsite location, time of work)
Improve auditability for compliance, safety checks, and proof-of-work tasks
How To Set Up Location & Timestamp Capture
1. Designer Step (Form Builder)
From the Designer step in the form builder:
Click on the question you want to collect location and/or time data for.
Just below the question, there is a setting called “Smart Controls”. Click on that, and click on “Time & Location Stamp” to open up to the Time & Location Stamp settings side panel. Alternatively, you can also open up this panel by clicking on the map pin icon on the right hand side.
Tick the checkboxes to record location stamps and/or timestamps, depending on what the question requires.
For photo questions, this setting captures:The location/time at the moment the user takes a photo with the camera app, or
The location/time metadata from an image that is in the default photo library mobile app.
For all other question types, this captures data at the moment the response is recorded.
Once enabled, you'll see small indicators showing which metadata (location or timestamp) the question will collect.
2. Preview Step (Form Builder)
In the Preview step of the form builder, you can confirm your setup:
Each question with location and/or timestamp capture enabled will display an indicator beneath it.
This lets you verify which metadata will be automatically collected once the form is in use.
Changing your template configuration will update these indicators in real time.
This step ensures you know exactly what your field team will experience before you publish.

3. What Workers See When Filling Out the Form
The Form Builder Preview step shows you a preview of what your worker will see when they fill out the form.
When a user completes a form:
Users may see a message requesting permission to access location if they haven't granted it previously.
No extra action is required to record the metadata. Responding to the question triggers the capture.
If the location cannot be captured due to various reasons (noted in Section 4 below), the workers are not blocked from completing the form. That said, the form submission will show the reason/s as to why the location was unavailable to be recorded for the question/s.
4. Reviewing Form Submissions
Once submissions come in, you can view the recorded metadata:
Go to your Forms Library.
Click on a form to view its submissions.
Open any submission to see the details.
For each question where location stamp was enabled, you will see:
The geofence name, if the location/address is part of one of the geofences your organization has set up.
An address, if it is not part of a previously set up geofence.
For each question where timestamp was enabled, you will see
A date and timestamp of when the response was recorded
If location data couldn’t be captured, this can be due to various reasons, which are shown as statuses in the form submission output:
Location denied - This reason shows up as the form submitter has declined their location tracking settings.
Weak location signal - This reason shows up because there is poor signal detection, so it would be best to review the address recorded.
No location data - This reason could be due to the user uploading screenshots or files that do not have location information as part of its metadata, or other device/network related issues.
All location and timestamp data is also included in your PDF downloads.
Best Practices
Enable metadata on questions where you need proof of onsite work, inspections, deliveries, or safety checks.
Use location capture for jobsite-specific tasks (e.g., “Take a photo of the installed equipment”).
Use timestamps to verify when recurring checks or compliance requirements were completed.
If you find that location/s have not been captured because your worker has denied the location tracking permissions to fill out the form, the form response will share proof of this for you to discuss with them the importance of tracking this for proof of work and compliance purposes.
