How to Assign Cost Code Groups to Team Members

Minimize the cost codes that workers see when clocking in and out of projects by assigning Cost Code Groups to team members.

Why assign Cost Code Groups to team members?

Assigning Cost Code Groups to team members ensures they only see and select the cost codes relevant to the work they perform when clocking in or out.

Instead of scrolling through every cost code on a project, team members are shown a reduced, role-appropriate list — making time entry faster, easier, and less error-prone.

Cost Code Groups can be assigned directly to individual team members or inherited through team membership, with no changes required to your current cost code setup.

By limiting visible cost codes, Cost Code Groups help prevent mistakes, reduce admin and payroll corrections, and produce cleaner labor data—leading to more reliable reporting and clearer insights into job profitability.


View & edit Cost Code Groups assigned to a team member

Follow the steps below to view or update Cost Code Groups assigned to an individual team member:

  1. Navigate to the Team Members menu using the left-hand side main menu.

  2. Click on a team member to open their profile.

  3. Navigate to the Personal & Job Info tab.

  4. Review Cost Code Groups assigned to the team member, categorized under:

    • Direct Assigned Cost Code Groups

    • Assigned via Team Cost Code Groups

  5. Click the edit (pencil) icon next to Direct Assigned.

  6. Select Cost Code Groups to assign, or de-select Cost Code Groups to unassign from the team member.


Note

  • Individual cost codes cannot be assigned to team members. Cost code visibility restrictions are managed strictly at the Cost Code Group level.

  • Cost Code Groups listed under Assigned via Team cannot be managed from this view.

  • Cost Code Groups assigned via a team are inherited automatically when a team member is added to that team.

  • To remove a Cost Code Group assigned via a team, the team member must be removed from the team that the Cost Code Group is assigned to.


Bulk assign Cost Code Groups to team members

You can assign Cost Code Groups to multiple team members at once using bulk actions.

To bulk assign Cost Code Groups:

  1. Navigate to the Team Members menu using the left-hand side main menu.

  2. Select multiple team members using the checkbox selection option.

  3. Click the Assign Cost Code Group button that appears above the team member table.

  4. Select the Cost Code Groups you want to assign.​

  5. Click Update to apply the changes.
    ​​


Note

  • If Cost Code Groups are already assigned to a team member, bulk actions will add new Cost Code Groups without removing or overriding existing ones.
