What are Cost Code Groups?

Cost Code Groups let you bundle related cost codes together (by trade, status, crew, or workflow) and show the right ones to the right people. Assign a group to a worker, and they’ll only see the cost codes they actually need. Cost Code Groups are available on Pro and Enterprise plans.


Who can create or manage Cost Code Groups?

Admins and managers can set up and manage Cost Code Groups for the team.


What changes for workers in the field?

Clock-ins stay the same: pick a project first, then choose a cost code. The difference is they’ll now see a shorter, relevant list based on their assigned group(s) — no more scrolling through everything.


What if someone isn’t assigned to a group yet?

No problem. They’ll still see the full project cost code list, just like today.


Can someone belong to multiple groups?

Yes. If a worker has more than one group, they’ll see cost codes from all of them in one combined list.


What if a worker needs a cost code they don’t see?

Managers and admins can update group assignments anytime. Changes show up right away for that worker.


Will this change past timecards or reports?

Not at all. Existing timecards and reporting stay exactly the same. This only affects cost code selection going forward.


Will time approvers still see the full list of cost codes?

Yes. Approvers can still view all cost codes and timecard details, regardless of group rules.


Can I edit groups later?

Definitely. You can rename groups, move cost codes in or out, and adjust worker assignments whenever you need.


I already have lots of cost codes — is grouping them going to be painful?

Nope. We added bulk actions, so you can select multiple cost codes at once and assign them to a group in seconds.


What happens to cost codes already assigned to projects?

Nothing changes there — keep managing project cost codes like you always have. Bonus: if a worker selects a cost code from their group that isn’t on the project yet, Workyard will automatically add it for you.


Do I have to use Cost Code Groups?

Not at all. This feature is optional. If your current setup works, you can keep it. If you want cleaner lists and fewer mistakes, groups are there for you.
