How to Edit Form Submissions (Admins Only)

Learn how admins can review and correct submitted forms before sharing or processing

Why this feature exists

Form submissions don’t always come in perfectly. Workers may submit incomplete or incorrect information, and teams often end up fixing these manually in tools like Word before sharing them.

This feature removes that extra step by allowing admins to edit submissions directly inside Workyard on the desktop web app - keeping everything accurate, consistent, and in one place.


Step 1: Open a Form Submission

  • In the Workyard desktop web app, navigate to Smart Forms from the Workyard dashboard

  • Go to the Submissions list

  • Select the form submission you want to edit, by clicking on the Edit submission icon.

Please note that managers and workers cannot edit submissions.


Step 2: Edit the Submission

Admins can edit most question types, including:

  • Text fields

  • Dropdowns, checkboxes

  • Workyard Fields (projects, cost codes, etc.)

Note: The following fields cannot be edited:

  • Signatures

  • File uploads

Admins can also toggle between View and Edit modes.

View mode is view-only. Once in Edit mode, admin can update the form fields as needed.

Step 3: Save Changes

  • After making updates, click Save Changes

  • You’ll be automatically returned to the Submissions list view


What Happens After Saving?

  • The submission is updated with the latest changes

  • A “Last updated by” name and timestamp will appear in the submissions list

    • This is visible to admins and managers

  • Clicking into the submission will always show the most recent version of the form submission.


Who Sees the Updated Submission?

  • Admins, managers, and workers all see the same updated version

  • This ensures everyone is working from a single source of truth


View Edit History

Admins can also access an edit history timeline, signified by the time history icon next to the Last Updated At timestamp, which shows who made the changes and when.

This is useful for internal reviews.


When to Use This Feature

Use submission editing when:

  • A worker submits incorrect or incomplete information

  • You need to standardize formatting before sharing externally

  • Payroll or project details need correction


This feature is simple, but it removes a lot of friction. Instead of fixing submissions outside the system, keep everything accurate and traceable right where the data lives.
