What to Expect
Workyard is now leveraging QuickBooks Online's Payroll API.
If you use QuickBooks Online Payroll, this means that you will be presented the Map Payroll Items screen for any employees in the payroll export. In this step, you'll be able to select QuickBooks Online pay types so that when time is exported for employees, the pay type is already populated in Time sheets. You will most likely want to do this for Overtime and Double Time (organizations that don't use overtime or double time often select 'Regular Pay' as the pay type for all three).
Mapping Pay Types in Workyard
Start your payroll export as usual.
On the Map Payroll Items screen, review each employee listed.
For any unmapped pay type, select the correct pay type from the dropdown.
Repeat for all unmapped employees and pay types, then proceed with the export.
Note: For the mapping to save correctly, the pay type you select must already be assigned to that employee in QuickBooks Online. If it isn't, the mapping won't save and time will export to QBO without a pre-selected pay type.
Regular Pay is assigned to all employees by default in QBO — you can't add or remove it.
Adding Pay Types to an Employee in QuickBooks Online
If a pay type isn't assigned to an employee yet, you'll need to add it in QBO before the mapping will work.
Log in to QuickBooks Online with a user that has permission to edit employee pay types.
Navigate to the Employee List.
Select the employee you need to update.
Click the Job & Pay tab.
Scroll down to Additional pay types.
Click Add (top right of the Additional pay types box).
Search for the pay type you need to add.
Click Save.
Repeat these steps for each pay type and each employee that needs to be updated.
Next Steps
Once pay types are assigned in QBO, return to Workyard and re-run the export — you'll be able to complete the mapping without any issues.
