Exporting Time from Workyard to Acumatica

Step-by-step instructions for exporting time cards from Workyard to Acumatica and viewing them once exported.

Step 1: Export Your Time Cards

  1. Navigate to the Time Cards menu (hourglass icon in the left navigation bar).

  2. Review the time information for accuracy.

  3. Click the Export button.

  4. Select the desired pay period or custom date range.

  5. Select employees whose time you want to export in the Team Members dropdown (or choose All Team Members).

  6. Look for Acumatica and click Start Export.

Step 2: Complete the Mapping Steps

Map Payroll Items Map the corresponding Payroll Item for each employee for Regular, Overtime, and Double Time. All fields need to be mapped. Once mapped, this will save for future payroll exports.

Note: If your company does not pay double time, the field still needs to be mapped — we recommend using the overtime pay type again.

Map Employees If you have not yet imported any employees who are submitting time, you can map them as part of the export process. This step is important to ensure the time data is associated with the correct employees in Acumatica.

Map Projects and Cost Codes If your company is utilizing Projects and Cost Codes, you'll be prompted to map any that haven't yet been mapped to Acumatica.

Note: If you do not want to map a Workyard Project or Cost Code to Acumatica, you can leave the field blank. The employee's hours will still export, but the export will not include the Project or Cost Code in Acumatica.

Step 3: Confirm the Export

Once all the necessary steps have been completed, Workyard will start exporting your timecard data to Acumatica. When the export is complete, you'll arrive at a success page confirming the time has been exported. Any issues will be shown here.


Viewing Exported Time in Acumatica

  1. Open Acumatica.

  2. Go to Employee Time Activities (EP.30.70.00).

Find the employee and period you exported time for. The time will appear in the Details tab with a status of Hold.
