Using Shortcuts to run bulk crew actions

How foremen and supervisors use Shortcuts in the Workyard mobile app to run one-tap bulk actions on the whole crew — clock in, clock out, breaks, cost codes, and full-day logs.

What Shortcuts does

Shortcuts lets foremen and supervisors run an action on the whole crew in one tap — clock in, clock out, start or end break, change job or cost code, or log a full day. No hand-picking workers, no digging through menus.

Where to find it

Open the Workyard mobile app and go to the Shortcuts screen. You'll need the latest app version and a supervisor or foreman role.

How it works

  1. Open Shortcuts. Workyard checks your crew's current state — who's on site, who's clocked in, who's on approved PTO — and only offers actions that will go through.

  2. Tap the action. Workyard pre-selects eligible workers and pre-fills the job and cost code from the geofence. Anyone left out (like a worker on PTO) is shown with the reason.

  3. Confirm. The action runs on the whole crew at once.

Suggested, common, and custom Shortcuts

  • Suggested — Workyard surfaces likely actions based on your crew's state, the time of day and learns from your usual clock patterns (for example, clock-in first thing in the morning).

  • Common — your most-repeated actions get pinned to the top so they're always one tap away.

  • Custom — build and save your own. If you run the same crew action every day, save it once and reuse it. Supervisors who don't clock in themselves can save a Shortcut that logs a full day for the whole crew, including themselves.

Good to know

  • Workers on approved PTO are automatically excluded from bulk actions, and Shortcuts tells you why.

  • Job and cost code are pre-filled from the geofence, but you can change them before confirming.

  • All actions land on time cards the same way individual entries do — nothing changes for the office or payroll.
