Before you start: You'll need Admin access to view and edit overtime rules.
Workyard automatically calculates regular, overtime (OT), and double time (DT) hours on every time card based on your overtime rules. You can now create and edit these rules yourself.
Where to find your overtime rules
Go to Company in the gear icon (settings) located on the left sidebar
Open the Time tab.
Select Overtime rules.
You'll see every rule on your account, including your company default.
Your company default rule
Every account has one company default rule, created automatically based on your state. It applies to every team member who doesn't have their own rule assigned, so no one is ever without one.
You can edit the default rule, but you can't delete it.
If you were already using Workyard, your existing rules carried over exactly as they were. Your overtime calculations haven't changed.
Create a rule with the AI builder
On the Overtime rules page, start a new rule.
Describe your policy in plain English. For example: "Time and a half after 8 hours a day, double time after 12, weekly overtime after 40."
Workyard fills in the rule for you. Review each setting and adjust anything that needs changing.
Check the simulator (see below), then save.
Build a rule manually
You can set any combination of the following, at 1.5x (overtime) or 2x (double time):
Daily overtime: hours over a set number in a single day.
Double time: hours over a higher daily threshold.
Weekly overtime: hours over a set number in a workweek.
7th consecutive day: hours worked on the seventh day in a row.
Time of day: set your regular working window, and any hours outside it are paid at the overtime rate. You can add a later cutoff for double time if your late shifts need one.
Preview your rule with the simulator
As you edit, the simulator shows a sample week and sorts the hours into regular, OT, and DT. It includes hours outside your regular window, so you can see exactly how the rule will calculate before you save it.
Assign a different rule to specific team members
If some workers have different pay terms than the rest of your crew, create another rule and assign it to those team members.
Good to know: A team member can only have one overtime rule in effect at a time. Anyone without their own rule falls back to the company default.
Frequently asked questions
Can I delete a rule? Not at this time. If you no longer need a rule, reassign its team members to another rule or the company default.
Can I set overtime rules by job, for holidays, or for drive time? Not yet. These aren't currently supported.
Can I use rates other than 1.5x and 2x? No. Rules support 1.5x and 2x only.
Did my existing overtime calculations change? No. Your existing rules were carried over as they were. If you were on a standard state rule, you now have your own editable copy of it.
