Workyard Expense Cards stop working on Monday 7 December 2026, and Expense accounts close on Thursday 17 December 2026. This article covers what's changing, what you need to do, and where to get help.
What's changing?
We're retiring Workyard Expense Cards so we can put everything into what Workyard does best — time tracking, scheduling and job costing. For cards and expenses, we went looking for the best long-term home for our customers, and that's PEX.
Cards stop working on Monday 7 December, and Expense accounts close on Thursday 17 December. We know switching creates work for you and your crews, and we'll help you through every step.
Does this affect the rest of Workyard?
No. Time tracking, scheduling, job costing and everything else in Workyard keep working as normal. Only Expense Cards and Expense accounts are ending.
What do I need to do?
Move any recurring payments (fuel, suppliers, equipment rental, subscriptions) to another card before 7 December.
Spend your balance by Wednesday 2 December, or transfer it to your own bank.
Check that the email address and mailing address on your Expense account are correct. Both are shown in Workyard on the web.
Download your statements and transactions before 17 December if you need them for your books.
Moving to PEX
What should I use instead?
We've partnered with PEX, who offer both prepaid and credit expense cards built for contractors. Cards and expense management are all PEX does — they've been at it for 17 years and work with thousands of construction, HVAC and plumbing companies.

Do I have to use PEX?
No. You're free to choose any provider. We recommend PEX because we think it's the best long-term fit for contractors, but the choice is yours.
What does PEX cost?
PEX publishes their current plans and pricing on their page for Workyard customers: pexcard.com/lp/workyard
Will PEX work with my accounting software?
PEX syncs with QuickBooks, Sage Intacct, NetSuite, Xero and others, so your card spend still lands in your accounting.
Will my cards, balance or history move to PEX?
No. You sign up with PEX directly, and you'll get new cards from PEX. Your Workyard cards and balance don't move across, so spend or transfer your Workyard balance as describe below.
When should I set up PEX?
As early as you can. New cards take time to arrive and hand out to your crews, and you'll want recurring payments moved across before 7 December.
Will Workyard bring expense cards back?
Not as a Workyard card. If anything changes we'll let you know — for now, PEX is where to go.
Your balance
What are my options for the money in my Expense account?
You have three options:
Spend it. Your cards work as normal until Monday 7 December. Finish by Wednesday 2 December so your last purchases clear.
Transfer it to your own bank. See the next question.
Leave it. Anything left when your account closes on 17 December is mailed to you as a check.
How do I transfer my balance to my own bank?
Log in to Workyard on the web, click Expenses, then click the ⋮ menu on the Account tab and choose Account Details.
Copy your account number and routing number.
At your own bank, add these as an external account.
Once your bank has verified the account, transfer the money across.
Every bank handles this a little differently. Most take a few days to verify a new external account, so allow at least a week. Start before Monday 23 November to be safe.
Can I still add money to my Expense account?
Until Monday 23 November, yes. After that, auto and manual top-ups are switched off. Your cards keep working on the balance you have until 7 December.
If you use auto top-up, make sure your balance covers what your crews need until 7 December.
What happens to money left in my account?
When your account closes on Thursday 17 December, any remaining balance is mailed to you as a check.
Allow up to three weeks for it to arrive.
Where will my check be sent?
To the mailing address on your Expense account. It's shown on your Expense account page in Workyard on the web, so you can check it before your account closes.
How do I change my mailing address?
It can't be edited in Workyard. Contact support at help@workyard.com with the correct address and we'll update it for you. Please do this well before 17 December so your check reaches you.
What name will the check be made out to?
The legal business name registered on your Expense account, which may differ from the name you use day to day in Workyard. If you're not sure what that is, contact support and we'll confirm it before your account closes.
Your cards
Can I still use my cards?
Yes, until Monday 7 December. After that, all purchases will decline.
Can I order new cards?
Physical cards: until Monday 9 November, including replacements for lost or damaged cards.
Virtual cards: until Monday 7 December.
What about recurring payments on my card?
Anything that bills your Workyard card automatically will decline after 7 December. Move these to another card now to avoid missed payments to suppliers or service interruptions.
What happens to a purchase made just before the cards stop?
Most card purchases clear within a few days. That's why we recommend finishing your spending by Wednesday 2 December.
Your records
How do I keep my statements and transaction history?
Download them from Workyard on the web before Thursday 17 December. Expense is removed from Workyard once accounts close.
How do I download a monthly statement?
Log in to Workyard on the web and click Expenses (the card icon) in the left menu.
On the Account tab, click the ⋮ menu next to your account's Open label.
Click Account Statements.
Pick the year with the arrows, then click the month you want.
Click Save Statement.
Statements are one month at a time, so repeat steps 4 and 5 for each month you need.
How do I export my transactions?
In Expenses, click the Transactions tab.
To export only part of your history, set a date range in the date box. Leave it blank to export everything.
Click the Export CSV icon at the top right of the table.
Your transactions download as a .zip file containing a CSV you can open in Excel or Google Sheets.
