Can I enter time cards on behalf of my employees?

Yes! Admins and managers with the right permissions can manually enter time cards for employees using either the Web Dashboard or Mobile App. This is useful for correcting missed clock-ins/outs, adding work that isn’t captured (e.g., travel or meetings), or entering historical time entries.


Who Can Enter Time Cards?

  • Admins: Full access to create, edit, and delete any time cards.

  • Managers: Can add and modify time cards if granted "All Time Cards" access; otherwise, access is limited to their own team.


How to Create a Time Card — Web Dashboard

  1. Navigate to Timecards in the side menu.

  2. Click + Time Card.

  3. Fill in the required fields:

    • Team member(s) — select one or more employees

    • Time Approver — who will review and approve this entry

    • Start time and End time

    • Break start and Break duration (optional)

    • Project and Cost Code (if applicable)

  4. Click Add Time Entry to save.


How to Create a Time Card — Mobile App

  1. Tap Time in the app menu.

  2. Tap the + Manual Entry icon.

  3. Complete the fields:

    • Team members

    • Time approver

    • Start and Finish times

    • Project and Cost Code (if applicable)

    • Breaks (optional)

  4. Tap Add to submit.


Edit or Delete Time Cards

  • On Web: Under Timecards, locate the entry and use the Edit or Delete options by clicking on the 3 dots to the far right.

  • On Mobile: Open the time entry list, find the manual entry, tap it, and Edit or Delete Time Card by tapping on the 3 dots to the upper right hand corner.

Admins can adjust past entries anytime; managers can do so if assigned the required access.


Why You’d Use Manual Time Cards

  • To fix missing clock-ins/clock-outs

  • To record meetings, training, or travel time that wasn't tracked

  • To back-date entries for payroll correction or compliance

Use sparingly

Manual entry should fill gaps only. Trust automated tracking whenever possible.

Document why

Add notes (e.g., “Missed clock-out on 6/30 due forgetting to clock out”) for clarity and auditing.

Don’t backdate too far

Limit entries to the most recent pay period unless necessary for payroll/legal reasons.

Set manager permissions intentionally

Offer access only where needed to prevent misuse.

Q: Can I submit a timecard on behalf of someone else?
Yes, provided you have the correct permissions. Admins and designated managers can both add or submit time for employees.

Q: What if an employee forgets to clock out today?
You can add a manual entry for that date, noting the accurate end time and the reason for the change.
