Add additional layer of security with Workyard's clock-in photo verification to avoid buddy punching

In the construction industry, accurate time tracking is essential for both productivity and payroll management. However, many companies face challenges with time theft, buddy punching, and inaccurate clock-ins. Workers might clock in for each other or forget to clock in altogether, leading to discrepancies in timesheets and ultimately affecting project budgets and timelines.

Ensuring that the right person is clocking in at the right time is critical for maintaining the integrity of your workforce management system. Accurate time tracking is crucial for:

  • Payroll Accuracy: Incorrect time entries can lead to payroll errors, which can be costly and frustrating for both the company and employees.

  • Project Management: Knowing who is on site and when helps in assigning tasks and managing resources efficiently.

  • Compliance: Many industries require accurate time records to comply with labor laws and regulations.

  • Security: Verifying the identity of workers on-site is important for safety and security, ensuring that only authorized personnel are present.

How it works

The "Verify clock in with facial photo" feature addresses these issues by requiring workers to submit a photo when they clock in. Here’s how it works:

  1. Under Company Settings, go to rule groups under Time Clock -> Time Tracking Settings and enable "Verify clock in with facial photo"

    1. You can selectively require the team members to submit the clock-in photo by assigning the appropriate rule group to them.

  2. Clock-In Prompt: When team member taps 'Start Work' in the mobile app, they are prompted to take a photo of themselves using the mobile device. User is prompted to provide the camera permission before using the feature.

  3. Photo Capture: The system captures a clear image of the employee and verifies that a face is detectable in the photo to be taken. User cannot submit a photo where a face is not detected.

    NOTE: Workyard photo verification is NOT based on facial recognition. The system cannot identify the individual from the clock-in photo. This feature only detects whether a face is present in the clock-in photo.

  4. Secure Verification: The photo is securely stored alongside the time entry, providing a visual record that can be reviewed if needed.

    If the team members fail to submit the photo, their time cards can be filtered out quickly using Alert filter.

  5. User-Friendly Interface: The feature is designed to be quick and easy, adding only a few seconds to the clock-in process.

NOTE: This feature is available on Pro (erstwhile Workforce Management) and Enterprise plans only. Starter plan customers can upgrade to verify clock-in with photos.
