How to Pull Employee IDs and Project Numbers from an Integration

Choose which integration provides Employee IDs and Project Numbers, and what happens when you do.

If your accounting or payroll system stores identifiers, Workyard can pull them in, so you don't have to enter them yourself. For an overview of identifiers, see How to Set Up Employee IDs and Project Numbers.

Which integrations can provide identifiers

Some accounting and payroll systems have identifiers Workyard can pull in, and some don't. For example:

  • Sage 100 Contractor: job numbers and employee IDs

  • ADP: employee file numbers

  • QuickBooks Online and Gusto don't have identifiers to pull in. You can still enter identifiers manually.

Choose where your identifiers come from

Administrators can choose which integration provides each type of identifier.

  1. Go to Company Settings (hover over gear icon>company) and select the Integrations tab.

  2. Find the Identifier Sources section.

  3. Under Team Member Employee IDs, choose the integration to pull Employee IDs from.

  4. Under Project Numbers, choose the integration to pull Project Numbers from.

  5. Click Save. Identifiers update in the background.

You can choose a different integration for each type. For example, you could pull Employee IDs from ADP and Project Numbers from Sage 100 Contractor.

What happens when you choose a source

  • The integration's identifiers replace any you entered manually. This applies to team members and projects linked to a matching record in your integration.

  • Identifiers from an integration are locked. The field is greyed out and shows Managed by followed by the integration name. To change one, update it in your integration.

  • Changes in your integration come over when you import. When you run an import manually, updates come over right away.

  • Team members and projects that aren't linked stay editable. You can keep entering identifiers for them manually.

Switch to a different source

To switch to a different integration, choose it in Identifier Sources and click Save. You'll see an alert before anything is overwritten. Once you confirm, the new integration's identifiers replace the existing ones.
