How to Set Up Employee IDs and Project Numbers

Add Employee IDs and Project Numbers from your payroll or accounting system so your records match across both systems.

Add the Employee IDs and Project Numbers from your payroll or accounting system to Workyard, so your team members and projects match across both systems. You can enter them yourself or pull them from a connected integration.

Where Employee IDs and Project Numbers appear

When a team member or project has an identifier, it appears everywhere that team member or project does, including:

  • Team Members: after the team member's name, on the team member list and at the top of their profile

  • Projects: before the project name, on the project list, project details, and anywhere you pick a project

  • Time Cards: when creating a manual time card, time card details, and project allocations

  • Reports and PDFs

  • Mobile App: when picking a project at clock-in or switching allocations, on Time Card Review, the crew screen, and tasks

Identifiers always appear when they're set, though you can hide the Employee ID and Project Number columns in the Team Members and Projects tables. Team members and projects without an identifier look the same as before.

Two ways to add identifiers

Add or edit identifiers manually

You can enter identifiers yourself on the web app when:

  • no integration is selected as the source, or

  • a team member or project isn't linked to a matching record in your integration.

To add or edit an identifier:

  • Team Members: add an Employee ID when inviting a new team member. To add or change it later, open the team member's profile, click Edit on Personal Information, and update the Employee ID field.

  • Projects: add a Project Number when creating a new project, or edit the project to add or change it. Only Administrators can edit Project Numbers.

  • Identifiers can be up to 50 characters long.
