How It Helps
Workyard tracks each team member's driving activity and assigns miles and travel time automatically whenever they arrive to a geofenced project. This allows you to work out the efficiency of your team or what to charge your client based on how much mileage or travel time was used on a particular project.
How It Works
The first step is to create a project for the location. That's all it takes to begin tracking mileage and travel time automatically for projects! When a team member drives to the project while clocked in Workyard, miles and travel time will be automatically assigned.
Explore Mileage & Travel Time Charts
To explore charts on miles and travel time assigned to a project:
Log in on your computer via workyard.com or on the mobile app
Go to the Projects menu item
Click on the project you'd like to view
Go to the Miles & Travel Section
This section displays the total miles and travel time automatically detected to the project from driving activity from your teams time cards. There are 4 types of charts displayed:
Miles & Travel Summary: Displays the total miles & travel time for the time period selected
Work vs Travel Time Summary: Displays the total work vs travel time hours broken down by a time period selected
Miles & Travel By Period: Displays how total miles & travel time broken down by a time period selected
Work vs Travel Time By Period: Displays how total work vs travel time broken down by a time period selected
Download Mileage & Travel Time Reports
To download a time report that includes total miles and travel time a project:
Log in on your computer via workyard.com or on the mobile app
Go to the Projects menu item
Click on the project you'd like to view
Then, click on the Download Reports button
Select either Total Hours, Miles & Cost or by Person and select your desired date range, group totals and display
The download spreadsheet (.csv) will contain a column for Total Miles & Total Travel Time
FAQs
Do I need to create the location as a project for the mileage & travel time to get automatically assigned?
Yes. A project & geofence for the location must exist before the user arrives at the location for the mileage & travel time to be automatically assigned.
Can I edit the total miles or travel time automatically assigned to a project?
Miles automatically calculated on time cards can not be edited. When you download a spreadsheet report you can edit the numbers contained within the spreadsheet.
How does work time get assigned to the project?
Through time tagged to the projects from team members on their time cards.
