Why It Matters

Workyard automatically tracks each team member’s driving activity and assigns mileage and travel time when they arrive at a geofenced project. This helps you:

  • Understand team efficiency

  • Accurately bill clients for travel

  • Improve job costing based on real travel data


How It Works

  1. Create a Project
    To begin tracking, simply create a project for the location in Workyard on the web or mobile app.


  2. Geofence Detection + Clock-In
    When a team member drives to the job site while clocked in, Workyard automatically detects the drive and assigns mileage and travel time to that project.

    Note: A project must have a geofence and be created before the worker arrives for tracking to occur.


Viewing Mileage & Travel Time Charts

To explore mileage and travel time insights:

  1. Log in at workyard.com or open the mobile app

  2. Navigate to Projects (mobile) or Project Hub (web)

  3. Click on the desired project

  4. Go to the Miles & Travel Time section

You’ll find four helpful charts:

  • Miles & Travel Summary
    Total miles and travel time over the selected date range

  • Work vs Travel Time Summary
    Compare total work time vs travel time in a summary view

  • Miles & Travel by Period
    Breakdown of miles and travel time by week or day

  • Work vs Travel Time by Period
    Compare work vs travel time over time


Downloading Mileage & Travel Time Reports

To download a report that includes mileage and travel time:

  1. Log in via workyard.com or the mobile app

  2. Go to Projects and select the desired project

  3. Click Download Reports

  4. Choose a report type (e.g., Total Hours, Miles & Cost or By Person)

  5. Select your preferred date range and format

  6. The .CSV report will include:

    • Total Miles

    • Total Travel Time


Frequently Asked Questions

Q: Do I need to create a project for tracking to work?
A: Yes. A project and geofence must exist before a team member arrives in order for mileage and travel time to be assigned.

Q: Can I edit the mileage or travel time?
A: No, mileage and travel time automatically calculated on time cards cannot be edited in the app. However, you can manually adjust the data after downloading the report (.CSV).

Q: How is work time assigned to a project?
A: Work time is assigned based on how team members tag time to projects directly from their time cards.
