How auto archiving & restoring projects work

Learn how projects on Workyard are automatically archived and restored

How It Helps

Workyard helps you keep your list of active projects up to date automatically. When a project hasn’t had any recent activity, Workyard will detect this and archive it for you. If activity resumes, the project is automatically restored — so your Project Hub always reflects what’s really happening in the field.

How It Works

Project Settings

You can manage how Workyard automatically archives or restores projects:

  1. Go to Project Hub from the main menu.

  2. Click the Settings button in the top right corner.

  3. Under the Project tab, you can configure:

    • Auto Archive — Turn this on (green) or off (grey), and choose how many days of inactivity should trigger automatic archiving.

    • Auto Restore — Turn this on (green) or off (grey) to automatically restore a project when activity is detected within its geofence.

Automated Project Archiving

When a project is archived:

  • Its connected geofence is disabled.

  • It will no longer appear when assigning time, notes, or tasks.

  • All existing data linked to that project stays safe and viewable at any time.

A project will automatically archive if no geofence activity (entries or exits) is detected for the number of days you’ve set. When this happens, Workyard sends an email notification to all administrators and assigned project managers.

💡 Note: Only geofence entries and exits count as project activity for auto-archiving. Tagging notes, tasks, or time to a project will not currently prevent it from being archived.

You can always manually restore an archived project whenever needed. Once restored, it will remain active until the same period of inactivity is detected again.


Automated Project Restoration

Workyard automatically restores a project as soon as new location activity is detected within its geofence — for example, when a worker with location tracking enabled arrives on-site at an archived project.

You can also manually archive or restore any project at any time. If you manually archive a project, Workyard will automatically restore it when new geofence activity is detected.


FAQs

Q: What happens if multiple projects share the same geofence?
Projects that share a single geofence won’t be automatically archived until there’s no activity across all of those connected projects. You can still manually archive individual projects at any time.

Q: Will projects with shared geofences be automatically restored?
No. Automatic restoration isn’t supported for projects that share a geofence. These must be restored manually.

Q: Can I turn off automatic archiving or restoration?
Yes. You can turn off either feature by toggling the switches under Project Settings → Project tab.
