Learn how projects on Workyard are automatically archived and restored

How It Helps

Workyard does the heavy lifting when it comes to managing your list of active projects. Using our smarts, we'll detect when a project is no longer active and archive it automatically. In addition, we'll detect when new activity occurs on your project and restore it immediately.

How It Works

Project Settings

To switch on/off the auto archiving and restore settings for your project:

  1. Go to the main menu item Project Hub > then click on Settings button in the top right hand corner

  2. From the Project tab on the settings page you can configure the following options:

    1. Switch on / off auto archive based on the number days of inactivity

    2. Switch on / off auto restoring a project when a geofence activity is detected

Automated Project Archiving

When you archive a project, the connected geofence will be disabled and you will no longer see the project in areas where you can assign time, notes, and tasks. The good news is that all the data associated to the archived project still recorded and never lost. All data connected to the archived project will remain available for you to view.

If no "activity" is detected for a project for more than the days your have configured it is automatically archived. When a project is automatically archived, an email notification is delivered to all administrators and associated project managers.

"Activity" on a project is defined as:

  • Entry or exits into the project geofence

  • Notes tagged to a project

  • General activity on a task tagged to a project

  • New project time tagged to a project

As an administrator or manager, you can always manually restore a project. If you manually restore a project, it will not be automatically archive until we detect the same period of inactivity.

Automated Project Restoration

A project on Workyard will be automatically restored as soon as we detect location activity on the associated project geofence. An example of this is, our location tracking detecting a worker arriving at a project that is archived.

As an administrator or manager, you can always manually archive a project. If you manually archive a project, it will be automatically restored when we detect location activity on the associated geofence.

FAQs

How does the auto archiving work if I have multiple projects associated to one geofence?

All projects associated to the geofence will not be automatically archived until we detect no activity across all the connected projects. You can always manually archive a project in this scenario.

How does the auto restoration work if I have multiple projects associated to one geofence?

Automatic restoration of a project is not supported when there are multiple projects connected to one geofence.

Can I turn off this feature on my account?

Yes you can turn the auto archive or auto restore feature off by setting the switch to off.
