What is QuickBooks Web Connector(QWC)?
It is a utility program to help you sync data between Quickbooks Desktop(QBD) and Workyard. With QWC, you can:
export the time data from Workyard to QuickBooks Desktop
import projects and employees from QuickBooks Desktop into Workyard
Data can be synced across two systems with few clicks. First step is to connect your Workyard account to QuickBooks Desktop via the new QuickBooks Web Connector (QWC).
If you are an existing Workyard customer connected to QuickBooks Desktop via Autofy connector, please switch to the new QuickBooks Web Connector to avoid data sync issues.
How to Check to see if you already have the QuickBooks Web Connector Downloaded to your server:
Step 1) Open QuickBooks Desktop on your Server
Step 2) Click File -> Applications Management -> Update Web Services
Step 3) If the following window appears, then you already have QuickBooks Web Connector installed on your server and you won't need to request your Server Admin to do this.
If it has not been installed on your server - Please make the following request to your Server Administrator:

Once your Server Admin has completed the above step you can proceed with the following steps:
Steps to install and setup QuickBooks Web Connector(QWC)
Step 1: Disconnect Autofy connector
Existing Workyard customers who are connected to QuickBooks Desktop via Autofy should disconnect the Autofy connector before setting up the new connector.
Go to
Integrations
and click onDisconnect
QuickBooks Desktop edition (via Autofy)
Existing or new customers are not connected to QuickBooks Desktop can start with Step 2
Step 2: Login into QuickBooks Desktop as Admin and ensure you're in Single-User Mode
Step 3: It opens a dialog box to Add the path to QuickBooks file on your system
To find the path, simply open your QuickBooks Desktop and press "F2" on your keyboard
This will open the following window and you'll simply copy what is listed under "Location". Then you'll paste it in the above section.
Make sure to close the "F2" popup once you're done entering the pathway.
When pasting in the path make sure there are not quotation marks around it:
❌ Incorrect - "Q:\Squeaky's Cleaning Services, llc.qbw"
✅ Correct - Q:\Squeaky's Cleaning Services, llc.qbw
Step 4: Clicking Next would open another dialog box instructing to download and install QWC as shown below.
Make sure to write down the Password listed - you'll need this later on.
Step 1 - your Server Administrator already completed this step for you
Step 2 - Download the "workyard.qwc" file to your server
Step 5: Launch the installer and click on
Add an Application
Then select the "workyard.qwc" file to add to the application
You might be prompted to authorize the service. Click OK
Select the tick box and Add password from Step 4 in the password field and click on Update Selected.
You will be prompted to save password. Click Yes.
Click on
Update Selected
again and Application Progress bar will start moving.
When service is successfully connected it will show the Last result: Session ended.
Now you can start exporting data from Workyard to QuickBooks Desktop or other way around.
When exporting from Workyard
When exporting data, please remember to click on 'Update Selected' after completing the export action from Workyard.
Alternatively, you can tick the Auto-run option and set duration in 'Every-Min' field to automatically sync the data exported from Workyard to QuickBooks Desktop.
